Textbook keeping

Overview

Here you will learn how to issue textbooks, register their return, and print textbook labels.
To enable textbook keeping in the system, go to Quick menu > Settings > Inventory and select the Use Textbooks checkbox.

Registering textbooks in RSM

To give textbooks to your students, you need to register these textbooks as Inventory in RSM. See how to register inventory here. Make sure the Textbook checkbox is selected for your inventory item.

Issuing textbooks

To issue a textbook to a student:
  1. Go to School and click Textbooks records.
  2. Click Create.
  3. Edit the Date if necessary.
  4. Specify the Student you want to give a book to.
  5. Specify the Class, Grade, and Term.
  6. Select the Textbook issue document type.
  7. Click Add and specify the Barcode and Title of the textbook.
  8. Select the textbook status: New, Used, or Tatty.
  9. Add a Comment if necessary.
  10. Add as many books as you need and click Post and close.

Textbook audits

To register a textbook audit:
  1. Go to School and click Textbooks records.
  2. Click Create.
  3. Edit the Date if necessary.
  4. Specify the Student you want to give a book to.
  5. Specify the Class, Grade, and Term.
  6. Select the Textbook issue document type.
  7. Click Add and specify the Barcode and Title of the textbook. This textbook must be registered as an Inventory in RSM.
  8. Select the Audited checkboxes for the audited books or click Audit all to audit all of them.
  9. Add a Comment if necessary.
  10. Add as many books as you need and click Post and close.

Registering textbook return

To register return of a textbook:
  1. Go to School and click Textbooks records.
  2. Click Create.
  3. Edit the Date if necessary.
  4. Specify the Student you want to give a book to.
  5. Specify the Class, Grade, and Term.
  6. Select the Textbook issue document type.
  7. Click Add and specify the Barcode and Title of the textbook. This textbook must be registered as an Inventory in RSM.
  8. Select the textbook status: New, Used, Tatty, or For Repair.
  9. Add a Comment if necessary.
  10. Add as many books as you need and click Post and close.

Printing labels for textbooks

In RSM, you can print labels for textbooks.
To print labels for textbooks:
  1. Go to School and click Print labels for textbooks.
  2. Fill in the table with the textbooks you want to print labels for using one of the following methods:
  • Click Fill in to add all the textbooks you have in the system to the table.
  • Select a textbook in the Textbook field and click Fill in to add all the textbooks of this type for which barcodes are registered in the system.
  • Click Add to add textbooks one by one and specify the required info.
3. Select the checkboxes next to textbooks you want to print labels for. To select all of them, click Select all.
4. Click Print labels > Print.

Textbook keeping reports

Textbook movement history

In this report, you can see when a particular textbook was issued, returned, or audited. You can also see the document registered the transaction, student name, grade, and class, and action type.
The report has 3 other options, each of them actually the same report filtered by a particular action type:
  • Audited Textbook Movements. Shows only textbook audit records.
  • Issued Textbook Movements. Shows only textbook issue records.
  • Returned Textbook Movements. Shows only textbook return records.

Textbook Barcode list

In this report, you can see all your textbooks with barcodes and some other data. You can filter this report by grade, publisher, and subject.

In this report, you can see all the textbooks you have in the system and their info.
You can filter this report by grade, condition, and subject.
