Tax Invoices
Overview
Tax invoices record a customer’s liability to you and record income from the transaction. The calculations made on tax invoices are also used to calculate Cost of Goods Sold (COGS). Moreover, tax invoices updates inventory balances.
Viewing Tax Invoices
To view a list of tax invoices:
- Go to Sales.
- Click Tax invoices.
From the Tax Invoice list view, you can:
- Sort the list by clicking the column heading.
- Export the list to Excel or other format by clicking More actions > Output list.
Creating Tax Invoices
To create a tax invoice:
- Go to Sales.
- Select Tax invoice.
- Click Create.
- Choose a customer in the Company drop-down list. The following fields are filled automatically if they were entered when creating the customer record: Terms, A/R Account, Due Date, Ship To, Bill To, and Email Address.
- Enter the customer P.O./Ref #.
- Click the Project and class tab and enter the Project and Class.
- Click the Print options tab and fill in Confirm to field (optional).
- On the Addresses tab, change the Bill to and Ship to if applicable.
- Click Add to add a new line item.
Choose an item from the drop-down list. The Description, Unit of Measure (UoM) and Price are autofilled if these fields were entered when creating the item and an associated Price matrix.
- Enter the quantity (Qty), Expected delivery date, Project, and Class.
- Enter the Discount % or Discount value if applicable.
- Enter the Shipping cost, if applicable.
- Click Save to save a draft or Post and close to finish.
Emailing Tax Invoices
To email a tax invoice:
- Open a tax invoice view and click Email.
- Enter the customer’s Email address. If the email address was entered when creating the Customer record, it will be filled automatically.
- Enter an email address in the CC field to send a copy to any additional parties.
- Enter any additional text to be emailed.
