Sales Quotes

Overview

Here you will learn how to easily create a quote, email and print it for a customer.

Creating Sales Quotes

To create sales quotes:
  1. Go to Sales.
  2. Select Quotes. It will show list of the quotes that have been created.
  3. Click Create.
  4. Select a customer from the Company drop-down list. If exist in the customer card, the following fields will be auto-filled: Ship To, Bill to, Sales person, Sales Tax Rate.
  5. Enter the RFQ (Request for Quotation)/ Ref #, Promise Date, and Expiration date (optional).
  6. Click the Addresses tab and enter a Confirm to: address (optional).
  7. Enter a Project and/or a Class on the More tab (optional).
  8. If this is a dropship quote, on the Print options tab, enter the Dropship (customer), Ship to:, and Dropship P.O./Ref. #.
  9. On the Memo tab, enter a memo to be included with the quote in the external memo field and/or a note for internal use only in the internal memo field.
  10. Click Add.
  11. Enter the item name or code in the Inventory field. The Description, default Unit of Measure and Price will be filled in automatically if they were specified previously in the item card. Change if necessary.
  12. Enter a Quantity.
  13. Enter a Project for this line (optional).
  14. Enter a Class for this line (optional).
  15. Click Save and close.
  16. Click Print quote to print or email the quote to the customer.
This is how it will look once all the steps are completed.

Viewing Sales Quotes

To view the list if sales quotes:
  1. Go to Sales.
  2. Select Quotes.
The first column includes the Quote date along with an indicator to the left that looks like a document. If this indicator has a green check mark, it is a finished quote.
Those without green check mark are drafts.
The list view shows expired quotes in red text, along with the quote’s status:
  • Open. Quote has not been cancelled or converted to a sales order.
  • Cancelled. Quote has been cancelled.
SO #: If a Quote has been converted to a sales order, the sales order number will appear here.
Email date indicates the last date the quote was emailed to the customer.
To sort the quotes, click any of the column names to sort it by that column.

Cancelling Sales Quotes

Sales Quotes may be canceled from the list view:
  1. Go to Sales.
  2. Click Quotes.
  3. Select the quote youwant to cancel.
  4. Click Cancel Quote at the top.

Other Sales Quote Functionality

From both the list view and the individual view, you can:
  • Generate a sales order. To do it, click Generate > Sales order. This will create a sales order will all the information entered on the Sales Quote.
  • Generate a tax invoice. To do it, Generate > Tax invocie. This will create a sales invoice with all the information entered on the Sales Quote.
  • Print a quote. To do it, click Print > Print Quote.
  • Email a quote. To do it, click Email.
