Receiving Customer Requests for Contracting

Overview

Once you receive a responce from your customer to the previously sent sales quatations, you need to register it in the system and specify whether the sales opportunity succeeded or failed.

Registering Customer Requests for Contracting

To register a customer request for contracting:
  1. Go to Sales > Customers.
  2. Open the required customer and click Sales opportunity at the top. If you don't see it, check under More actions.
  3. Select a required Sales opportunity and click the button on the screen below to create a new business interaction (an appointment, a phone call, an email, and other) based on it.
  4. In the Business interactions document, specify the required details according to the interaction type. For example, Start date, End date, Location, and Subject for an Appointment, or Date, Call with, Contact details, and so on for a Phone call.
  5. On the Details or Comment tab (depends on the type of interaction), enter any additional information.
  6. Attach the necessary files.

Marking Sales Opportunities as Won

To mark a sales opportunity as won:
  1. Go to Sales > Customers.
  2. Open the required customer.
  3. Click Sales opportunity at the top. If you don't see it, check under More actions.
  4. Open the required Sales opportunity and go to the General information tab.
  5. Set the Won status in the Status field.
  6. Go to the Primary demand tab. The tab is available if the Record primary demand checkbox is selected in Master data and settings > CRM and Marketing > Marketing.
  7. In the Fulfillment percentage column, enter 100% for lines accepted by the customer.

Initiating Maintaining Counterparties

To initiate counterparty maintaining, create a task for your employee:
  1. Go to Sales > Customers and open the required customer.
  2. Generate a Duty based on this cutomer card.
  3. In the Duty field, specify a working name.
  4. In the Assign to field, specify a user responsible for the task.
  5. Set the Priority and specify a Due date.
  6. In the Subject field, describe actions to take.
  7. Click Start and close.

Confirming Contracting Request Tasks

For the responsible employee to confirm a contracting request tasks, they need to:
  1. Go to Quick menu > My Tasks.
  2. Open a Task related to the process step.
  3. In the Results field, describe the results or the current progress.
  4. Enter the Completion date.
  5. Click Completed.
