Quotations

Overview

A sales quotation is used to quote a price and conditions (e.g. shipping conditions, pre-payment requirements, and other) to the customer.

Enabling Quotations

To use quotations in the system:
  1. Go to Master data and settings > Sales and click Wholesale.
  2. Under Use orders, select the Sales quotations checkbox.

Creating Quotations

You can create a sales quotation based on the Sales opportunity. In this case, some information will be prefilled.
To create a sales quotation based on the Sales opportunity:
  1. Go to CRM and Marketing > Sales opportunities.
  2. Click Generate > Sales quotation.
  3. Click the More tab and select the Not approved status in the Status field.
  4. Check the correctness of other fields.
5. Click the Terms and conditions tab and specify the date when the quotation will expire in the Valid till field.
6. Choose the Direct sale transaction.
7. Specify whether the transaction is Subject to VAT or not.
8. Specify the Currency.
9. If the price includes VAT, select the Price includes VAT checkbox.
10. Fill in Payment, Delivery, and Other terms if required.
11. Click the Goods (services) tab.
12. Add the required items and item variants (if applicable).
13. Specify the Quantity.
14. Fill in prices using one of the following ways:
  • Specify Price types and Prices manually.
  • Select the lines and click Prices and discounts > By sales terms and conditions. The system will automatically fill in prices from the Price type selected in the Terms of sales.
  • Select the lines and click Prices and discounts > By price type. The system will automatically fill in prices from the Price type you select.
15. Specify manual discounts manually or select the required lines and click Prices and discounts > Assign discount adjustment. Then enter % of discount adjustment and amount of manual discount.
16. Select the Delivery period option:
  • Specified in days once the order is received. Number of days required to deliver the goods is specified. The delivery date is calculated once the sales order is received.
  • Specified on a specific date. Specific delivery dates are specified.
  • Doesn't matter. Delivery dates are not specified.
17. Fill in Delivery dates for each line (if applicable).
18. Click the Information for the customer tab and specify general information for the customer.
19. Click Post and close.
To create a sales quotation from scratch:
  1. Go to Sales > Sales quotations.
  2. Click Create.
  3. Fill in the required information as listed above.

Sending Quotations to Customers

Before you send a sales quotation to the customer, open it and check the correctness of commercial terms. If everything is OK, set the Valid status for the quotation.
  1. Go to Sales > Sales quotations.
  2. Open the required Sales quotation.
  3. Click the More tab.
  4. Open the Contact person card and check if email, telephone number, fax number, and other details are valid.
  5. Click Print and preview the print form of the document. If necessary, ask the administrator to change a print form or upload a new one, or add a barcode to it. You can then use the barcode to quickly find a document in the list using a barcode scanner.
  6. Clicking Send by email to send the document to the customer by email.
  7. Click Print to print the sales quotation and send it to the customer.
