Projects/Jobs

Projects/Jobs allow the user to group transactions in the system for the purposes of reporting and tracking. Usually, a project/job is created for a short-term grouping need. To group transactions for a more permanent purpose, see classes.
To add a project to a document for tracking purposes, create and associate it with a customer first. Each project may have one customer, but one customer may have many projects.

Adding Projects/Jobs

To create a project/job:
  1. Go to Project/Time and click Project / Jobs.
  2. Select Create.
  3. Enter the Project / Job name.
  4. Choose the customer associated with the project/job.
  5. Choose a Project type: Fixed and T&M (Time and Materials).
  6. In the project Status field, select Open.
  7. Optionally, enter budget amounts for Income, Expense, and Hours.
  8. Click Save to save the project/job or Save and close to finish.

Projects/Jobs Tips and Tricks

From the Projects/Jobs list, you can also view all transactions associated with a project. To do it, select a line and click Transactions. All transactions that have been tagged with that project will appear in the list.
To list all the transaction from the chosen customer that have not yet been tagged with a project, click Transactions w/o project. This helps ensure that nothing is missed during record keeping.
To easily find a project/job, click Find, choose a field to search on and type a search phrase. Any list that has been generated using the methods described above is available to export to Excel.

Time-tracking

Time-tracking allows you to log hours against a project. The tasks are items, just items that are not tracked in inventory. They are known as service items.
To track time, ensure the following:
  • There is a service item in the item list.
  • Customer is created.
  • There is a project/job created for the customer.
To track time:
  1. Navigate to Projects.
  2. Select Time tracking.
  3. Click Create.
  4. The logged-in user appears in the User field. Change if needed.
  5. Select a Customer from the drop-down list.
  6. Select a Class (optional).
  7. Select a Task.
  8. The Hourly Rate is populated from the item record. Change if needed.
  9. Enter the Hours.
  10. Select the Billable checkbox to include this time in a future invoice and in the costs on reports.
  11. Type a Description to appear in the invoice.
  12. Click Post and close.
