Marks

Overview

Here you will learn how to evaluate your students' knowledge, assign marks for different activities, and later calculate the final achievement level based on these marks.

Mark types

Before you assign marks, you need to register mark types in the system. Mark types are what exactly you want to give marks for: tests, exams, marks for the term, and so on.
To create mark types:
  1. Go to School and click Mark types.
  2. Click Create.
  3. Enter the Code and Description.
  4. If the mark is given in a particular term, select it in the Term field.
  5. If this mark is calculated according to the algorithm, select the Calculated checkbox.
  6. Click Save and close.

Algorithms

Some marks are calculated based on other marks. For example, you can sum up marks of terms 1-4 and divide it by the number of terms to get the mark for the year. In this case, your formula is as follows: (Term1+Term2+Term3+Term4)/4.
To create an algorithm:
  1. Go to School and click Marks algorithms.
  2. Click Create.
  3. Click Edit.
  4. Create the Algorithm you want using Indexes (mark types) and symbols (mathematical signs, brackets, and so on).
  5. Click OK.
  6. Click Save and close.

Mark max points

For each subject, you can specify maximum points. For example, you can specify that a student can get 100 points for each term and 200 points for the final test.
To specify mark max points:
  1. Go to School and Mark max points.
  2. Click Create.
  3. Enter the Grade, Subject, Mark type, and Max points. For example, 200 points for the Final test for Biology.
  4. Create as many mark max points as you need.

Symbols (Achievement level)

Symbols (achievement levels) allow you to estimate your students' knowledge. You will see whether their knowledge is enough to move to the next grade or not.
To create symbols (achievement levels):
  1. Go to School and click Symbols (Achievement level).
  2. Click Create.
  3. Enter the level Description. For example, Moderate Achievement, Outstanding Achievement, or Not Achieved.
  4. Enter the Symbol for this level. For example, it can be a number from 1 to 10 where 1 is Not Achieved and 10 is Outstanding Achievement.
  5. Enter the Minimum percentage the student has to get to achieve this level.
For example, if a student got 0-20% of maximum points for the test, it gives them 1 point, which demonstrates poor achievement. 20-40% gives 2 points and elementary achievement, and so on. These levels will later be displayed in the Estimation document (for more info, see below).

Mark sheets

Mark sheet is a document where you can register student marks for a particular subjects and activity (for example, test).
To create a mark sheet:
  1. Go to School and click Marks sheet.
  2. Click Create.
  3. Select the year in the Period field.
  4. Enter the Subject, Mark type, and Grade. Based on the selected items, term and max mark are displayed next to the period.
  5. If required, specify the Educator and Class.
  6. If this mark reflects the final mark, select the Reflecting final mark checkbox.
  7. Click Add to add students manually, Fill to fill them automatically based on the selected grade and class, or Import to import them from an external file.
  8. For each student, in the Total column, enter the total number of points the student got for this mark type. The Conversion column is populated automatically with the percentage calculated based on the Total and Max mark (for example, if the Total is 45 and Max mark is 50, the Conversion will be 90%).
  9. Add a Comment for each mark if needed.
  10. Click Save and close.
To analyze the information given in the mark sheet, click Marks in points at the top. This will display all the students and their points in one table.

Evaluation

Evaluation is a document where you can calculate marks using algorithms and see the achievement levels.
To create an evaluation:
  1. Go to School and click Evaluation.
  2. Click Create.
  3. Select the year in the Period field.
  4. Enter the Mark type you want to calculate. Make sure this mark type is calculated (=the Calculated checkbox is selected in its card).
  5. Select the Algorithm you will use for calculation.
  6. Select the Subject, Class, and Grade (optional).
  7. Click Fill to fill them automatically based on the selected grade, class and subject. The information about marks is taken from the Mark sheet document. The system calculates the required mark based on the algorithm and shows the student level (elementary, average, outstanding, and so on).
  8. Click Post and close.

How it Works in the System

Let's consider an example: you want to estimate the overall understanding of Chemistry. You do it based on the average mark for the year.
First, you need to go to the Mark types catalog and register 5 mark types: Mark1, Mark2, Mark3, Mark4, and Final.
For the Final mark, select the Calculated checkbox.
Next, create the algorithm you will use to calculate the Final mark type: (Mark1+Mark2+Mark3+Mark4)/4.
Then, assign Mark max points for each mark type for Chemistry: let it be 100 for each mark type.
Create achievement levels.
Register Mark sheets for the Mark1, Mark2, Mark3, and Mark4 mark types for Chemistry.
Register the Evaluation for the Final mark type for Chemistry. The system will take the percentages of Mark1, Mark2, Mark3, and Mark4 marks from the Mark sheet documents created and calculate the Final mark based on the created algorithm - (Mark1+Mark2+Mark3+Mark4)/4. The system will analyze the percentages and display achievement levels for each student as follows:

Progress Report

Once the final marks are evaluated, you need to create Progress reports for students and email them to parents.
To create a Progress report:
  1. Go to School and click Progress report.
  2. Click Create.
  3. Edit the Date and Period if necessary.
  4. Set additional filter criteria: Grade, Class, and Terms you want to consider in this report (optional).
  5. Click Fill list to add the student automatically based on the additional filter criteria or click Add to add them manually.
  6. Specify the Class for progress report.
  7. Make sure the Mailing address is specified.
  8. Add Remarks if needed.
  9. Click Generate progress report.
Once you click Generate progress report, separate reports will be generated for each student in the Progress reports list. In the report, you can see the student's achievement level and average percentage for each term and subject, as well as their attendance (days present, days absent, days leave, and days early leave).
You can print out and send progress reports to parents by email. To do it, click Print or Email right in the document or from the Progress reports list.

In this report, you can see points and percentage got by each student for a particular subject and mark type.
To generate a report:
  1. Go to School and click Marks under Reports.
  2. Specify the Period, Student, and Subject (optional).
  3. Click Run report.
