Goods Shipment to Customers

Overview

Shipment documents are registered for advanced warehouses. If you do not use advanced warehouse management, goods issue will be registered by the sales invoice.

Goods Issue Settings

Before you register goods issues, set up the following:
  1. Go to Master data and settings > Warehouse and delivery > Warehouse. Select the order in which documents will be registered:
  • Orders first, then goods issues and invoices. Goods issues are registered based on sales orders before customer invoices. Customer invoices are then registered based on Goods issues.
  • Orders and invoices first, then goods issues. Goods issues are registered based on customer invoices. The sequence of documents is the following: sales order > customer invoice > goods issue.
2. Under Goods issues are generated by, select who will be responsible for creating goods issue notes:
  • Automatically. Goods issues are created and recreated automatically when the documents that influence their creation are saved (orders, invoices, or delivery orders). The created documents are available from the Shipment workplace.
  • Warehouse keeper. A warehouse worker manually creates and recreates goods issues based on the reference documents (orders, invoices, or delivery orders) in the Shipment workplace.
  • Employee. An officer manually creates and recreates goods issues based on the reference documents (orders, invoices, or delivery orders) right from these documents or the lists of these documents. The Shipment workplace is not available.

Registering Goods Issues

All shipping activities, such as picking, packing, transportation, are initiated based on the goods issue document.
There are three ways to create a goods issue depending on the system settings.
Goods issues are generated automatically
In this case, Goods issue is generated automatically in Warehouse > Shipment when orders or invoices are posted.
Goods issues are generated by warehouse keeper
To create a goods issue:
  1. Go to Warehouse and delivery > Shipment.
  2. Select an advanced Warehouse and a Shipment date.
  3. Find and select the documents that require delivery from the warehouse. Note that the system shows only sales orders in the For fulfillment status and with item lines with the Ship action.
  4. Click Create notes, select the By selected references option and click OK. The system will automatically create a new Goods issue document.
  5. Fill the required details and check the populated data.
  6. Click Save and close.

To create a goods issue:
  1. Open the required sales order or customer invoice (depends on the warehouse and delivery settings)
  2. Click Generate > Goods issue.
  3. Fill the required details and check the populated data.
  4. Click Save and close.

Picking Goods

If the Use for storage of remaining products option is selected for your warehouse/wareroom, you need an extra document to pick up goods from the warehouse.
To pick up goods:
  1. Set the To pick up status right in the Goods issue document.
  2. Go to Warehouse and delivery > Shipment and go to the Picking from storage bins tab.
  3. Review the list of goods issues for shipping. Select lines and click Create > Picking tasks.
  4. In the Settings menu, select By selected references in the Create tasks option and click OK. A new Warehouse transfer document in the Prepared status will be created in the bottom window.
  5. Open the Warehouse transfer document and on the Main tab, select an assignee.
  6. On the Pick list tab, review the storage bins filled automatically. To fill bins manually, do any of the following:
  • Select lines, click Storage bin > Fill in selected lines, and select the storage bins to apply for the selected lines.
  • Select lines, click Storage bin > Select by picking rules to fill bins automatically.
7. Set the document to In Progress status and click Print > Warehouse transfer task to provide the printed instructions to the assignee.
8. Wait for the assignee to pick the goods.
9. Set the Fully completed status.
10. Click Save and close.

Shipping Goods

  1. In the goods issue, set the To ship status to confirm readiness for shipping.
  2. Load goods into a vehicle.
  3. Once the goods are shipped, set the Shipped status for the goods issue.
