Enrollment with Google Spreadsheet Integration
Document Overview
Here you will learn about the enrollment process in Rise School Management. Use Google spreadsheets to fill in and capture all the information needed for this process.
Schools can now provide parents with a form to fill online that can be entered into the system and then create student accounts for the students that have been accepted.
Setting up the Email Account
1. Click School/List & Settings and then click Enrollment.
2. Click Import.
3. Enter your Gmail account where the system can access the Google spreadsheet and then click Authorize in Google.
4. Select the account to allow RSM to take information from Google and then click Allow. The system will show you a link. Click two boxes to copy it and paste it in the step 2 in RSM. Click Continue.
This will take you to the window where you will create the form and select your spreadsheet.
5. Click Google form template to create your enrollment form. This will open up your browser and allow you to use a form format that we have for your enrollments.
6. Click Make a copy.
Creating the Enrollment Form
This will open up the form where you can see the current fields available to be filled in. You can delete, amend or add fields.
1. To add a question, click the plus button on the sidebar.
This will add a question to the top of the form.
You can drag it to anywhere in the form.
2. When you are done with all the questions you would like to have in your enrollment form, scroll up to the top of the page and click Send.
You can send it to a specific email. Parents can also access this form using a link.
If you change something in the form, it is updated automatically.
The recipient will receive the form by email. To fill the form out, they can click FILL OUT FORM.
This will take them to the form where they can fill in all the information that you have added.
When the form is submitted, the school will be able to see how many responses they got and create a spreadsheet from it.
3. Click the spreadsheet icon to create the spreadsheet for the responses.
4. The system will ask you if you would like to create a new one from our template or to use an existing one. Select Create a new spreadsheet and then click Create.
It will show you all the fields of your spreadsheet and the answers given by parents. It organizes each form in one row, with each column being a different question/field.
5. Copy the spreadsheet ID, paste it to the system and click Next.
6. Click Next and then click Complete.
Importing Spreadsheet Answers to RSM
After selecting the file to be imported, the system will automatically take you to the first screen where you are able to import the information. Then you need to map the spreadsheet columns to the attributes in the system. This window looks like your Excel spreadsheet file.
1. Click double boxes on the Mapping field.
2. Select the checkboxes for the attribute you want to import to the system. If you don't need a particular info, for example, Parent birthdate, leave the checkbox cleared.
3. For each required system attribute in the Name column, select the corresponding spreadsheet attribute in the Spreadsheet column. For example, Name in the system corresponds to the Student name in the Excel file.
4. When mapping is done, click Save and close.
5. Click Refresh from the spreadsheet to pull the information to the table below.
This will bring up a list of all the people who filled in the form and their details.
6. Select the checkbox and click Import.
Once imported, it becomes gray.
The system automatically adds all the students to the system and creates the Enrollment documents for them.
Creating the Enrollment Document
1. Go to School and click Enrollment.
2. Open the created Enrollment document. The information about student and guardians will be populated from the imported spreadsheet.
3. Click Write next to each field to bring in the student and the guardians.
If the name and surname do not appear, it means this student information was not imported.
4. Click Post and close.
Your student is now created and is a part of your student list in RSM.
